1. Booking
- Deposit Requirement: A 50% deposit is required for all bookings.
- Booking Confirmation: Upon approval of date, time, and paid deposit.
2. Cancellation
- 7 days or more in advance of the event date – No refunds, but eligible to transfer full credit towards a future booking of equal and higher value.
- Within 3-6 days in advance of the event – No refunds, but you are eligible to transfer 50% credit towards a future booking of equal and higher value.*
- Within 72 hours or less of the event – No refunds. Charged services and rental fees will be forfeited.
- Same-day cancellations or no-shows – No refunds. Charged services and rental fees will be forfeited.
3. Payment
- Payment Schedule: The remaining 50% balance and a $100 refundable security damage deposit is payable 7 days prior to your event. Otherwise, any booking 7 days or less requires full payment to secure your picnic.
- Accepted Payment Methods: E-transfer and credit cards (Visa and Mastercard) are accepted.
4. Modifications
- Modification Limits:
- Number of Guests: Changes to the number of guests must be made at least 7 days before your event, with any fee differences paid in full at that time.
- Location: You may change to an indoor venue, another outdoor venue, or a backyard location. However, outdoor locations outside of Georgina may not be feasible due to factors beyond our control.
- Event Date: You may postpone your event with a minimum of 7 days’ advance notice from the original date. Date changes are subject to availability.
- Price Adjustments: Any changes to your event, including the number of guests, location, or date, may result in adjustments to the overall price. Any additional fees or refunds will be communicated and must be settled accordingly.
5. Weather Conditions
In the rare occasion that we experience inclement weather (rain, heavy wind, etc.), and we determine that your booking may be affected, we will contact you in advance to discuss alternatives. Rescheduling or changing location indoors will be provided as options. Please ensure that your party has a backup indoor location.
Bookings affected by inclement weather are not subject to cancellation fees.
6. Liability and Insurance
- Damage Responsibility:
- Client is responsible for all loss and/or damages to rentals, up to and including actual replacement value for each missing or damaged item per cost. Please notify us immediately.
- Candles are only for decorations, we do not permit the use of any open-flame candles at our picnics and Luxe Picnic Escapes is not liable for any consequences of live fire.
- Insurance Requirement: you are responsible for acquiring any insurance/permit for your event.
